Appointments
View and manage all appointments booked by the AI across Sales, Service, and Test Drive in a unified calendar.
The Appointments section gives you a calendar view of every appointment booked by DealerAI's AI agents on behalf of your dealership. Sales appointments, service visits, and test drives all appear in one place.
Overview
When an AI agent successfully books an appointment with a customer during a conversation, it creates an appointment record that appears in this calendar. Your team can review upcoming bookings, view customer details, and resolve any scheduling conflicts.
Calendar View
The calendar defaults to a month view and can be switched to week or day view using the controls in the top-right corner. Each appointment block shows:
- Customer name
- Appointment type (Sales, Service, Test Drive)
- Scheduled time and duration
Click any appointment block to open the full appointment details panel.
Appointment Details
Opening an appointment shows:

| Type | Sales, Service, Test Drive, or custom |
| Date & time | Scheduled start time in the dealership's local timezone |
| Vehicle interest | The vehicle the customer enquired about (if applicable) |
| Notes | Any additional information captured during the conversation |
| Source | Which AI agent or channel created the appointment |
| Conversation | Link to the original conversation thread |
Appointment Types

Filtering Appointments
Use the filter controls above the calendar to narrow the view by:
- Appointment type — show only Sales, Service, or Test Drive
- Date range — jump to a specific period
- Agent — which AI agent booked the appointment
Managing Appointments
Appointments are created by the AI during live conversations. Changes made in the portal are for record-keeping purposes — if you reschedule or cancel, remember to also inform the customer directly.
From the appointment detail panel you can:
- Edit appointment notes or details
- Mark as completed once the visit has taken place
- Delete an appointment that was booked in error
