Inventory

View and manage your dealership's vehicle inventory that the AI uses to answer customer questions.

The Inventory section displays your dealership's current vehicle stock, exactly as the AI sees it. Keeping inventory accurate ensures the AI gives customers correct information about available vehicles, pricing, and specifications.

Overview

DealerAI's AI agents query your inventory in real time during conversations. When a customer asks "Do you have any red SUVs under $40,000?", the AI searches this inventory and responds with matching vehicles from your actual stock.

Inventory data is typically synced automatically from your DMS (Dealer Management System) or uploaded via the inventory processing pipeline. The Inventory section lets your team review, search, and manually edit records where needed.

Inventory List

The main view shows all vehicles currently in your inventory as a card-based or list-based grid. Each vehicle entry shows:

Searching and Filtering

Use the search bar at the top of the inventory list to find vehicles by:

  • Make or model name
  • Stock number or VIN
  • Price range
  • Year range
  • Body style (SUV, sedan, truck, etc.)

Viewing Vehicle Details

Click any vehicle to open its detail panel, which shows:

  • Full specifications (engine, transmission, drivetrain, features)
  • All available photos
  • Price and payment options
  • Notes visible to the AI during conversations

Editing a Vehicle Record

If a vehicle's details are incorrect or need updating:

Click the vehicle in the inventory list to open its detail panel
Click Edit in the top-right of the panel
Update the fields that need correcting
Click Save — the AI will use the updated information immediately in new conversations

Manually editing a vehicle record overrides data from the automatic sync. If your DMS syncs frequently, manual edits may be overwritten. Check with your administrator if this is a concern.

Inventory Sync

Inventory is typically kept up to date through an automated sync process that runs on a scheduled basis (daily or more frequently). If you notice missing or outdated vehicles, contact your DealerAI administrator to review the sync configuration.
