Knowledge Base
Maintain the dealership information your AI agents use to answer general customer questions about hours, location, policies, and more.
The Knowledge Base is where you store the factual information about your dealership that the AI agents draw on to answer customer questions — things like business hours, address, contact numbers, financing options, and dealership policies.
Overview
When a customer asks "What are your service hours?" or "Where are you located?", the AI consults the Knowledge Base to give an accurate, dealership-specific answer. Keeping this information current is essential for the AI to respond correctly.
What to Include
The Knowledge Base should cover all the standard questions customers commonly ask:
| Category | Examples |
|---|---|
| Location | Street address, city, directions from major roads |
| Hours | Sales hours, service hours, parts hours, holiday hours |
| Contact | Phone numbers for each department, website URL |
| Financing | Available finance options, lenders, credit requirements |
| Trade-ins | Whether you accept trade-ins, how the process works |
| Warranties | Certified pre-owned programs, extended warranty options |
| Policies | Return policy, test drive policy, deposit requirements |
| Services | Types of service work offered, service specialisations |
Editing the Knowledge Base
Extract Feature
The Extract tool helps you quickly populate your Knowledge Base from existing content on your dealership website. Provide the URL of your dealership's "About" or "Contact" page and DealerAI will attempt to extract relevant information automatically.
Always review extracted content before saving. Automated extraction may capture outdated or incorrect details that should be verified against your current information.
To use Extract:
Keeping the Knowledge Base Up to Date
Review your Knowledge Base whenever any of the following change:
- Business hours (especially seasonal or holiday adjustments)
- Contact phone numbers or department extensions
- Financing options or lending partners
- Policies (return policy, test drive requirements, etc.)
- Physical address or location changes
Outdated information in the Knowledge Base will cause the AI to give incorrect answers to customers, so treat it like a living document.
